Managing Purchase Groups

Overview

The Purchase Groups feature allows you to define, save, and manage groups of locations for efficient purchasing from a single supplier. This eliminates the need to recreate groups for every purchase, streamlining the purchasing workflow and reducing potential errors⁠

The feature provides a dedicated hub for creating, viewing, editing, and deleting purchase groups effortlessly. It integrates existing purchase flows with saved groups, facilitating smooth transitions from prioritization to execution within your workflow⁠.

Why use Saved Purchase Groups?

This feature addresses the need for efficient group management, empowering users to save time and optimize their purchasing workflows. The benefits include:

1. Effortless Group Creation: Define and save purchase groups according to your specific requirements, eliminating repetitive setup tasks.

2. Streamlined Purchasing: Prioritize groups effortlessly and execute purchase orders with ease, minimizing workflow interruptions.

3. Cost Efficiency: Combine purchase requirements within groups to optimize costs and meet supplier quantity breaks or freight requirements⁠

Managing Purchase Groups

  1. In the Purchasing module, navigate to the Purchase Groups tab to start creating groups.

  2. Click on “New Group” to open the purchase group creation modal. Fill in the required details:

    • Give your group a distinctive name for easy identification.

    • Specify the supplier for this group.

    • Select the locations to include in this group.

    • Determine the purchase location for all included locations from this supplier.

  3. Once configured, click "Save" to finalize and return to the main Purchase Groups screen.

  4. In the main Purchase Groups screen, you will now see your created Purchase Group.

    • Easily view information such as group name, the count of included locations, supplier details, and primary purchase location.

    • Note that targets across locations in a group are consolidated, facilitating collective progress towards purchase targets. Monitor the status of readiness for purchase orders, along with the associated costs and total lines for all combined locations.

Finally, utilize the Actions menu to manage your groups efficiently:

  • Use the pencil icon to make modifications to your group seamlessly.

  • Delete a group using the trash icon.

  • Access the PO Builder for a specific group by clicking the arrow icon.

The Saved Purchase Groups feature enhances the efficiency of your purchasing process, streamlining group purchases management and enabling you to focus on other critical aspects of your business operations.
