When getting started with Recurrency, it’s important to make sure your demand usage data is set up correctly. This ensures you’re seeing an accurate picture of demand and inventory activity, especially if you’re using an ERP like Epicor Prophet 21 (P21). This guide explains the difference between usage and sales history in P21, how Recurrency’s usage settings work, and how to configure them for your business needs.
Usage vs. Sales History in P21
In P21, it’s common to see differences between usage and sales history. That’s because P21 tracks usage based on two key settings:
Capture Usage At: Determines whether usage is recorded when an order is placed or when the invoice is created.
Track Usage At: Defines whether usage is tied to the sales location (where the order was entered) or the source location (the warehouse or branch that shipped the product).
Depending on how these settings are configured, your usage totals may not align perfectly with sales history—especially if orders are fulfilled from locations different from where they were sold.
Using Recurrency’s Demand Usage Settings
If you’re satisfied with how P21 tracks usage, you can import usage directly into Recurrency from your ERP. The imported data will reflect exactly what’s in P21. However, if you’d like more control, Recurrency offers flexible usage settings with Capture Usage At and Track Usage At, as well as Direct Ship Transactions, which configure whether direct ship transactions are included or excluded from usage totals.
Switching to Recurrency-Based Usage
If you enable Recurrency usage settings:
Your usage data will be recalculated based on your chosen configuration.
The recalculation process may take up to 24 hours, and it will provide a cleaner, more accurate view of demand.
While switching to Recurrency usage is optional, it is highly recommended if P21’s usage tracking doesn’t align with how you want to operate.
Reviewing and Adjusting Usage Data in Recurrency
To review an item’s usage in Recurrency:
Navigate to the Planning or Forecasting tab.
Select an item and open the side panel.
Click the Usage Modal to view:
Historical usage for that item.
Forecasted usage based on current trends.
Line-level breakdown of usage data.
If you’re importing usage from your ERP, the breakdown will mirror your ERP’s usage lines.
